What you hand us when you write in is what we have: a name, an email, perhaps a phone number, and a shipping address when an order needs one. It is never merged with outside data, never enriched, and never passed to brokers of any kind. Card numbers stay with the payment processor and never reach our systems. Order records live for the retention period tax law requires; ordinary messages are cleared after two years, sooner if you ask.
If you'd like to access, update, port, or erase any personal information we have on file, please contact us — we'll act on it within thirty calendar days, at no charge. You have the right to withdraw consent for any future processing, to restrict how we use existing records, and to ask that your data be moved to another service in a portable format. Records subject to legal retention (orders, invoices) cannot be deleted before the required period elapses, but everything else can. sprucecrestline.com sets no cookies for tracking or advertising and loads no third-party analytics. Server logs exist for security, are reviewed only when something looks wrong, and are cleared on a 90-day cycle.
Wedding coverage inevitably photographs people who never signed anything — guests. We handle this by agreement with you: the couple decides where images may appear, and any guest who contacts us directly can have images of themselves excluded from albums and online galleries. We never tag, identify, or publish guest photographs on our own channels.
Planners, venues, florists and dressmakers often ask for photographs of their work. We share selected images with your vendors only after you approve the list, and always with personal-use-plus-portfolio terms — your faces are not handed over for their advertising without your explicit yes.
Wedding masters are kept for five years — couples lose USB sticks more often than you would think — and portrait masters for one. Galleries stay online for 90 days. Outside weddings the data trail is shorter: a booking form, an email thread, and the photographs themselves. Engagement-session planning notes — proposal timing, a ring kept secret — are treated as confidential even from the other partner until you say otherwise, and are deleted once the session is delivered.
Working files sit on encrypted drives in the Minami Ward studio; the archive is mirrored to a second encrypted disk stored at a different address in Kyoto. Nothing is synced to consumer cloud accounts, and no third-party AI or model-training service ever receives client photographs from us.
Changes to this policy are published here with a revised date. Anything that materially affects photographs or data we already hold — a new supplier, a changed retention period — is announced by email to active clients before it takes effect, with time to object or ask for deletion first.
